Recordkeeping Innovation (RKIC) worked with Sisters of the Good Samaritan (Good Sams) to implement governance controls in their Microsoft 365 and SharePoint environments, ensuring they met records management standards. By working closely with the Good Sams team, we provided tailored solutions to improve record management, establish retention and disposal processes, and help staff adapt through targeted training. The enhanced use of metadata also allowed for better organisation and easier access to their records, making the system more efficient and user-friendly.

Context

The Sisters of the Good Samaritan (Good Sams) are a group of religious women within the Catholic Church who have a long tradition of providing education and offering support services for people need, such as refugees, indigenous Australians and people living with disability. The Sisters were the first religious congregation founded in Australia and have been providing services to vulnerable members of the community for over 160 years. 

To support the delivery of Good Sams services through effective information governance, RKIC were engaged to guide the implementation and configuration of governance controls within the Microsoft 365 and SharePoint environment.  

Our Role

To gain an understanding of Good Sams requirements for managing their records and information, RKIC conducted stakeholder workshops and reviewed the existing SharePoint environment. Based on workshop findings, and other analysis, we produced a detailed outline of SharePoint’s business and information governance capabilities such as search, eDiscovery and Workflow, retention labels, audit logs, sensitivity labels and content types.  

The report provided recommendations relating to the implementation and configuration changes to achieve consistency of information governance controls in Microsoft 365.The report also included advice about potential third party tools and vendors to further strengthen information governance in a SharePoint environment. 

As part of this project, we also delivered: 

  • A solution design and configuration document and a proposed mapping of Good Sam’s existing BCS to SharePoint sites. 
  • Map existing information structures (previously developed by RKI) to SharePoint sites, and required changes based on recommendations 
  • Configuration SharePoint / M365 controls in line with report recommendations  
  • Liaising with external vendors as required to support configuration 
  • System administration activities, primarily relating to Microsoft Purview and User / Group administration 
  • Training materials to support adoption of SharePoint and other Microsoft 365 solutions 
  • Workshops with key stakeholders to socialise changes 
  • Provision of ongoing strategic advice, support and system administration 

RKIC worked closely with the Good Sams project team to tailor recommendations and report content to best meet Good Sams requirements.
