Context

 The School identified a need for a more strategic and holistic approach to governing its information and records to ensure that:

  • staff can access the right information when they need it to support operations and decision making.
  • information and records are consistently created, captured and managed across the School.
  • information and records are retained for as long as required, and disposed of when suitable, and archival records are appropriately stored, managed and utilised to promote the history of the School.

Wenona commissioned this project to support a more coordinated approach to good information governance through:

  • assessment of the current state of information management across the School
  • provision of an information management strategy plan and roadmap that addresses gaps and provides remediation activities.

To enhance Wenona’s management of its digital and physical information and records, a strategic approach to information management was proposed which aligns information governance requirements, business needs, change management and technology.

Benefits include safer and more secure information, better access, improved collaboration, sharing and decision making, enhanced value derived from information, reduced costs and more effective risk management.

The proposed framework included a set of standards, policies, guidelines and tools. Some simple principles were at the heart of the framework:

Information is:

  1. Integrated with business and aligned to the needs of the School community.
  2. Secure and valued as an organisational asset.
  3. Reliable, trusted and used with confidence.
  4. Accessible when needed, protected when required.
  5. Structured to provide full and accurate records of students.

The School will be able to provide reliable evidence of activities by ensuring information assets are well governed, accessible and preserving the important heritage of the organisation from foundation into the future.

The Project objectives were to review current information management practices, and develop a strategy and roadmap for a more holistic and strategic approach to information management

Our Role

  • Consultation with School staff, high level review of applications and systems
  • Provided an Information Management Current State Assessment to identify current practice, issues, risks and enhancements to improve capability and maturity based on best practice.
  • Develop an Information Management Strategy Plan and Roadmap
